Senior Admin Executive Job Description

Maadhu Creatives is looking for a Senior Admin Executive in Mumbai to manage daily office tasks like documentation, inventory, courier handling, housekeeping, front desk, events, and onboarding. The ideal candidate is organized, proactive, and good at multitasking to keep the office running smoothly.
Key Responsibilities:
1. Documentation & Filing
- Maintain organized physical and digital records (employee files, bills, courier receipts, agreements)
- Scan, photocopy, and file documents as per company standards
- Update shared folders/Google Drive with the latest admin documents
- Collect signatures and circulate documents to relevant departments
2. Office Inventory & Supplies
- Monitor stationery, pantry, and housekeeping supplies
- Maintain stock registers and issue logs
- Notify Admin Manager of low stock or restocking needs
- Receive, verify, and report discrepancies in delivered supplies
3. Courier & Dispatch Management
- Manage incoming and outgoing couriers and parcels
- Maintain courier logbooks with tracking and delivery status
- Coordinate with courier vendors to ensure timely deliveries
4. Housekeeping & Pantry Coordination
- Conduct daily inspections of workstations, washrooms, pantry, and common areas
- Ensure housekeeping staff follow daily cleaning checklists
- Report cleanliness issues, damages, or maintenance concerns
- Monitor pantry supplies and arrange refills
- Ensure meeting rooms are prepared with refreshments and stationery
5. Meeting Room & Facility Readiness
- Keep meeting rooms clean, organized, and equipped
- Assist with video conferencing or presentation setups
- Coordinate minor furniture arrangements for meetings or events
6. Front Desk & Communication Support
- Attend and transfer incoming calls
- Greet visitors, issue visitor passes, and maintain records
- Provide basic office information and handle inquiries
7. Event & Onboarding Support
- Assist with office events, celebrations, and festivals
- Support onboarding by arranging desks, stationery, and welcome kits
- Coordinate with HR on onboarding logistics
8. Admin Reporting & Updates
- Share daily task status reports with Admin Manager
- Maintain checklists, task trackers, and follow-up logs
- Track completed, pending, and upcoming admin tasks
9. General Support Tasks
- Assist departments with printing, scanning, and document organization
- Handle urgent or ad hoc administrative tasks
- Update internal notice boards and communication displays
Required Skills & Qualifications:
- Graduate in any discipline (preferred)
- 1–3 years of experience in administrative or office support roles
- Basic computer skills (MS Office, Google Drive, email)
- Strong communication, coordination, and time-management skills
- Detail-oriented and proactive in problem-solving
