Procurement & Vendor Management Job Description
Location: Mumbai

Maadhu Creatives is a dynamic and innovative organization committed to delivering high-quality creative solutions. We are seeking an experienced Procurement & Vendor Management professional to join our Mumbai team and support our operations.
Key Responsibilities:
1. Material Planning & Requisition Handling
Receive and review Material Requisitions (MR) from production, model-making, painting, landscaping, electrical, and other departments
Verify specifications, quantities, project references, and urgency levels
Clarify discrepancies with the requesting department before proceeding
2. Vendor Sourcing & Management
Maintain and update the Approved Vendor List (AVL)
Identify new vendors for cost optimization, better quality, or urgent/specialized materials
Evaluate vendors based on price, quality, delivery timelines, and after-sales support
3. Quotation & Negotiation
Obtain quotations (minimum 2–3 where applicable)
Prepare Comparative Statements for management approval
Negotiate prices, lead times, and payment terms to achieve the best cost-quality balance
4. Purchase Order (PO) Management
Prepare and issue POs with accurate specifications, quantity, rates, delivery dates, and quality requirements
Ensure PO approvals follow the company authority matrix
Track delivery progress until materials are received
5. Market & Local Purchases
Handle emergency or local purchases when required
Ensure bills are in the company name with correct GST details
Verify material meets approved specifications before handing over to the Store Executive
6. Coordination with Store & Accounts
Inform Store Executive prior to material delivery
Share PO and bill copies with Accounts
Resolve discrepancies related to quantity, rates, or vendor billing issues
7. Vendor Performance & Cost Control
- Monitor vendor performance regularly
- Recommend cost-saving solutions without compromising quality
- Support management with procurement data and reports
Role Limitations:
- Cannot issue materials to production
- Cannot maintain or alter stock records
- Cannot bypass store processes
Required Skills & Qualifications:
- Experience in procurement, vendor management, or a related field
- Strong organizational, negotiation, and analytical skills
- Ability to manage multiple vendors and projects efficiently
- Knowledge of material specifications, purchase orders, and vendor evaluation
