Job Description

- Work Schedule: 10:00 AM to 07:00 PM | Monday to Saturday.
Job Purpose
The Vendor Management Executive / Manager will
completely oversee our end-to-end supply chain, raw material procurement, and
external fabrication partnerships. This role is responsible for scouting
premium material suppliers, onboarding specialized local workshop vendors,
negotiating cost-effective contracts, and tracking deliveries to ensure our
internal design and production floors never face project delays.
Key Responsibilities
1. Vendor Sourcing, Onboarding & Management
- Scout,
evaluate, and onboard high-quality suppliers for core model-making raw
materials, including premium acrylic sheets, specialized polyurethane
resins, SLA/FDM 3D printing filaments, high-grade wood composites, and
specialized miniature electronics (matrix LEDs, micro-controllers, wiring
kits).
- Identify
and build a robust pipeline of backup local fabrication vendors providing
specialized job-work like large-format CNC routing, metal fabrication,
precision laser cutting, and specialized spray painting.
- Maintain
an up-to-date, centralized database of active and alternative vendors,
including performance ratings, lead times, credit terms, and pricing
cards.
2. Negotiation, Cost Control & Contracting
- Negotiate
competitive pricing models, annual volume discounts, delivery schedules,
and favorable credit timelines (e.g., 30/60-day billing cycles) with
suppliers.
- Draft,
execute, and renew formal Service Level Agreements (SLAs), Non-Disclosure
Agreements (NDAs), and supply contracts in coordination with our legal and
finance teams.
- Conduct
periodic market research to benchmark material costs and aggressively
identify cost-saving procurement alternatives without compromising on
premium quality.
3. Purchase Coordination & Inventory Alignment
- Review
bill-of-materials (BOM) requests generated by internal Design Team
Leads and Project Managers to understand exact project dimensions,
scaling needs, and material specifications.
- Raise
clear, accurate Purchase Orders (POs) and closely track production
schedules at vendor workshops to eliminate raw material bottlenecks.
- Monitor
incoming material quality alongside the production floor supervisors and
manage dispute resolution, item replacements, or credit notes for
defective supplies.
4. Logistics & External Workshop Supervision
- Coordinate
custom protective crating, heavy flight-case manufacturing, and
specialized domestic/international freight transport for high-value
finished models.
- Visit external job-work vendor sites across the Vasai-Virar and Mumbai industrial belts to audit quality standards, verify progress, and ensure strict project timeline adherence.
Required Candidate Profile
Education & Domain Background
- Education:
Graduate degree in Supply Chain Management, Materials Management,
Production Engineering, Commerce, or a related operational stream.
- Experience:
2 to 5 years of core experience in vendor management, strategic sourcing,
or procurement. Experience working within architecture firms, interior
design agencies, custom furniture/exhibition stall fabrication units, or
industrial model workshops is highly preferred.
Technical & Sourcing Skills
- Material
Literacy: Strong baseline knowledge of fabrication materials
(acrylics, plastics, composites, electrical components, paints) and
machinery processes (CNC, laser cutting, 3D printing).
- Software
Competence: High proficiency in MS Excel for managing cost sheets and
purchase trackers. Familiarity with ERP procurement modules or inventory
tools is a strong plus.
- Geographical
Knowledge: Active networks or deep familiarity with the industrial
material markets across Mumbai and Palghar districts (e.g., Vasai, Kaman,
Goregaon, Lohar Chawl) is highly advantageous.
Soft Skills & Communication
- Negotiation
Strengths: Outstanding interpersonal and persuasion skills to secure
the lowest lead times and highest credit flexibility.
- Language
Skills: Fluent communication skills in Hindi and Marathi to seamlessly
coordinate with local workshop staff, combined with professional English
literacy for corporate documentation and email correspondence.
