Job Description


We are seeking a highly organized and responsible Admin Executive / Administration Coordinator to manage daily office operations and ensure smooth administrative functioning across all departments.

The ideal candidate will be responsible for maintaining office efficiency, handling documentation, coordinating with vendors and internal teams, supporting HR and accounts-related tasks, and ensuring overall workplace discipline and organization.

This role requires strong attention to detail, excellent coordination skills, and the ability to manage multiple tasks in a structured and timely manner.

Key Responsibilities

Office Administration

  • Manage day-to-day administrative operations for smooth office functioning
  • Maintain, organize, and update office records, documents, and filing systems
  • Ensure proper data entry and maintenance of company records
  • Handle inward/outward mail, courier management, and dispatch records
  • Monitor office supplies, stationery, and procurement requirements

Coordination & Communication

  • Coordinate with all departments for smooth workflow and task execution
  • Handle incoming calls, emails, and visitor management professionally
  • Support management in scheduling meetings, reminders, and follow-ups
  • Ensure effective communication between internal teams and external vendors

HR & Attendance Support

  • Maintain employee attendance and basic HR-related documentation
  • Assist in staff coordination and employee record management
  • Support onboarding documentation and administrative HR tasks

Vendor & Accounts Coordination

  • Coordinate with vendors for office requirements and services
  • Manage office purchases and ensure timely procurement
  • Assist accounts team with invoice processing and payment follow-ups
  • Maintain proper records of administrative and financial documentation

Office Maintenance & Logistics

  • Ensure cleanliness, housekeeping, and proper office maintenance
  • Monitor workplace hygiene and overall office environment
  • Assist in travel arrangements, bookings, and logistics when required

Management Support

  • Support management in preparing reports, documentation, and presentations
  • Assist in organizing meetings, events, and internal activities
  • Maintain strict confidentiality of company information and records
  • Perform additional administrative tasks as assigned

Required Skills

  • Excellent communication and interpersonal skills
  • Strong organizational and coordination abilities
  • Proficiency in MS Office (Word, Excel, Outlook)
  • Strong documentation and record-keeping skills
  • Ability to multitask and manage time efficiently

Qualifications

  • Bachelor’s degree in any discipline (preferred)
  • Minimum 2 years of experience in administration or office coordination roles
